ProcurePro is where your team runs tendering and procurement. TradesField keeps the two in step: vendors you onboard in TradesField are created in ProcurePro, vendors that start in ProcurePro can be brought into TradesField for monitoring, and every linked vendor shows its TradesField Rating and compliance status inside ProcurePro.

What syncs

TradesField to ProcurePro
  • New vendors. When you approve an onboarding submission, the vendor is created in ProcurePro with its ABN, address and primary contact. If ProcurePro already has a vendor with the same ABN, TradesField links to it instead. Nothing is duplicated, and the details your team has in ProcurePro are left as they are.
  • Edits. When you later change a linked vendor’s name, primary contact or address in TradesField, the change is sent to ProcurePro. Only the fields you changed are sent.
  • Rating and status. Each linked vendor’s TradesField Rating, compliance status and a link to its TradesField profile are written into ProcurePro attributes (see below). They refresh daily and whenever the vendor changes.
ProcurePro to TradesField (optional)
  • Vendors that start in ProcurePro. Choose to bring across the vendors contracted on a current or recent project, only the ones you tag, or all of them. TradesField matches on ABN, so a vendor you already have is linked, never duplicated or overwritten. Vendors need an ABN to come across. No emails are sent to vendors.

Why it matters

  • Risk where you make the decision. Your estimators and procurement team see a subcontractor’s rating and compliance status on the ProcurePro record they are already looking at, before they shortlist or award.
  • No double entry. Vendors are onboarded once and appear in both systems.
  • Never overwritten. TradesField matches on ABN and never writes over a ProcurePro vendor that belongs to a different business.

Setting up the integration

Setup takes about ten minutes. Two steps happen in ProcurePro (creating an API client and the TradesField fields), and TradesField checks both before you connect. When you add the integration, TradesField shows these same four steps. You’ll need to be a ProcurePro administrator (to create API clients and Library fields) and a TradesField admin.
1

Create an API client in ProcurePro

  1. In ProcurePro, go to Settings > Public API.
  2. Create a new API client and call it TradesField.
  3. Give it these permissions:
  1. Save it and copy the client ID and client secret. ProcurePro may only show the secret once, so keep it handy for the next step.
2

Enter the credentials in TradesField

  1. Go to the TradesField Integrations page: https://admin.tradesfield.com/admin/integrations
  2. Select Add integration and choose ProcurePro.
  3. Paste the client ID and client secret, then select Next.
3

Create the TradesField fields in your ProcurePro Library

ProcurePro’s API can’t create Library fields, so you create these once. TradesField finds them by name and fills them in on every linked vendor.Vendor attributes. In ProcurePro, go to Library > Vendor attributes (open it directly). Create:
  • Use the exact attribute names. Option names are matched by letter or words, so “A” and “a” both work.
  • Choose Select, not multi-select, for Rating and Status, and set the colour on each option. ProcurePro offers grey, orange, red, green, purple and cyan; the colours above match the grade colours in TradesField. A Text attribute works but can’t show colours.
  • Leave the attributes as not required.
  • You can create any or all of them. TradesField fills in the ones it finds.
Show them on your vendors. Still in Library > Vendor attributes, select Configure where attributes appear and turn on the three TradesField attributes. Until you do, TradesField can fill them in but your team won’t see them on vendor records.Trade tag. ProcurePro needs a trade tag on every vendor, so TradesField gives each vendor it creates a trade tag called TradesField Vendor. In Library > Trade tags (open it directly), create TradesField Vendor under the Preliminaries category (or choose a different tag in the settings later).Vendor tag (only if you’ll bring tagged vendors across). In Library > Vendor tags, create TradesField. Add it to the vendors you want TradesField to monitor.

Check and connect

TradesField checks everything against ProcurePro and shows each item as passed, a warning, or a problem to fix:
  • Connection: the client ID and secret work.
  • API permissions: every permission in step 1 is granted.
  • TradesField Rating, Status and Profile: each exists, is the right type, and has every option.
  • Trade tag for new vendors: the trade tag exists.
Fix anything marked as a problem in ProcurePro, then select Check again. When nothing is left to fix, select Connect ProcurePro. Warnings don’t block connecting.
Once connected, open the integration’s settings (the cog on the Integrations page) to choose how vendors sync. You can run the same check there at any time, for example after changing a setting that needs another permission.

What TradesField shows in ProcurePro

  • TradesField Rating shows the grade exactly as it appears on the vendor’s page in TradesField. If monitoring is off, the vendor shows Not rated (or the field is cleared if you didn’t create a Not rated option).
  • TradesField Status shows what the vendor’s page shows: Active, Compliance issues, or Monitoring disabled when monitoring is off.
  • TradesField Profile links to the vendor’s page in TradesField. Your team signs in to view it.
These refresh every day and whenever the vendor changes in TradesField.

Settings

Each linked vendor shows a Synced to ProcurePro badge on its page in TradesField. If a sync fails, the badge says why, with a Retry button.

Troubleshooting

Common questions

Will TradesField create duplicates of vendors we already have in ProcurePro? No. It matches on ABN first. If ProcurePro already has a vendor with the same ABN, TradesField links to it and leaves its details as they are. Does TradesField overwrite what our team has entered in ProcurePro? Only the fields you change in TradesField afterwards (name, primary contact, address) are sent, and the TradesField attributes are kept up to date. Everything else in ProcurePro is left alone. How often do vendors added in ProcurePro come across? Once when you save the setting, then daily (around 10am Brisbane time). Does TradesField email vendors it brings across from ProcurePro? No. They’re added quietly. You decide whether they’re monitored. Can we change the colours? Yes. The colours are set on each option in your ProcurePro Library, so you can change them there at any time. TradesField picks the option, and ProcurePro shows whatever colour you’ve given it.
